China Parcel Forwarding Checklist: Register Packages Before Arrival

This China parcel forwarding checklist covers the step between paying a seller and asking a warehouse to ship overseas: registering what is coming. When the warehouse can match each incoming package to your account and order, it is easier to identify missing items, request checks and decide when to consolidate.
Forwarding and purchasing are different tasks. If you have already bought the goods yourself, tell AllDaigou that you need forwarding and confirm whether the items can be accepted before sending them. If you also need help placing the order, explain that separately. Our Taobao and 1688 consolidation guide for Europe explains the later step of grouping purchases for an onward shipment.

1. Confirm the receiving instructions before ordering
Ask for the current warehouse address and the account identifier or receiving code you should use. Copy the instructions exactly into the seller’s shipping details. Do not rely on an old address saved from an earlier order, and do not invent a receiving code. Confirm how to submit an incoming-parcel record through the available order system or agreed support channel.
Describe the goods accurately before dispatch. Mention relevant features such as a battery, liquid or fragile parts so the forwarding team can check handling and route suitability. Acceptance and shipping options depend on the actual goods and destination; do not assume that every item a marketplace sells can be forwarded.
2. Keep order numbers separate from tracking numbers
A marketplace order number identifies your purchase. A domestic tracking number identifies a package moving from the seller to the warehouse. Keep both, together with the carrier name. A seller may split one purchase into several packages or combine items into one package, so a one-order-to-one-parcel assumption can cause confusion.
For a split delivery, list each tracking number and the items the seller says it contains. If the seller changes a tracking number, update the record and identify the old number as replaced. Mark unknown information as awaiting seller confirmation rather than guessing.
3. Build one clear incoming-parcel record
- Your account identifier or warehouse receiving code, as instructed.
- Marketplace, seller name, order reference and product link.
- Product description, exact variant and expected quantity.
- Domestic carrier and tracking number for each package.
- Known split shipments, backorders or items dispatched separately.
- Requested photos, inspection scope and packaging instructions.
- Destination country and whether the package should wait for other orders.
Keep proof of purchase and the seller’s dispatch information so you can answer a matching query. Share private order documents only through the agreed service channel, with unnecessary account or payment details removed.
4. Reconcile arrivals before approving consolidation
A carrier’s “delivered” scan and a completed warehouse check-in are different records. If they do not match, provide the tracking number, delivery information and your receiving reference so the warehouse can investigate. Do not immediately create a second order record for the same package.
Compare expected and checked-in quantities, and identify any parcel still in transit. If one seller is late, decide whether to wait or ship separately after comparing the revised cost and timing. Before consolidation, confirm whether retail boxes, protective inserts and seller packaging should be retained. Never assume that all original packaging will be removed.

Frequently asked questions
Can I register an order before the seller supplies tracking?
Ask which information the receiving process accepts initially. Keep the order reference and item details ready, then add the confirmed carrier and tracking number when the seller provides them.
Does check-in mean the final international shipping price is fixed?
No. The final packing arrangement, measured weight, dimensions, route and requested work can affect the quotation. Confirm the shipment details and total before authorising dispatch.
