China Warehouse Photo Inspection: How to Write a Clear Request

A useful China warehouse photo inspection starts with a specific question: what do you need to see before deciding whether the goods should ship? “Please check the quality” leaves too much open to interpretation. A written shot list links each product to the angles, quantities and visible details you want checked.
This guide explains how to prepare that request for purchases from 1688, Taobao or Xianyu. For the wider purchasing and shipping budget, start with our China sourcing and international shipping cost guide.

1. Connect every photo request to an identifiable item
Send the product URL, order reference, exact variant and expected quantity together. If several items look similar, attach the seller’s reference image and name the distinguishing detail, such as the lining colour, connector shape or printed label. Ask the warehouse to keep your order reference associated with the images so that you can tell which item was photographed.
For a mixed order, make one request per product or SKU. “Photograph three blue pouches from order A” is more useful than “send pictures of my parcel.” Avoid including unnecessary personal information in photos that will be shared.
2. Choose photos that answer a purchasing decision
- Overall condition: front, back and relevant sides, with the complete item in frame.
- Quantity and contents: the items and accessories laid out clearly, where opening the package has been agreed.
- Labels and variant: a readable close-up of the model, size or colour label.
- Dimensions: the exact measurement points shown beside a ruler, with the required unit stated.
- Visible concerns: a wider context image and a close-up of the mark, crack, stain or damaged packaging.
Colour can look different under different lighting and screens. A photo is useful for spotting an obvious mismatch, but it cannot establish an exact colour specification. If a tight tolerance matters, agree a suitable measurement method before buying.
3. State how many units should be checked
A photograph of one unit does not show the condition of every item in a carton. Specify whether you want an agreed sample or every unit checked, and ask whether that scope is available and what it costs. Record the selected quantity, the checks performed and any units that could not be assessed.
For sealed products, agree whether the seal may be broken. For used Xianyu goods, identify the seller-disclosed wear and the areas you want compared with the listing. Photographs do not establish authenticity, hidden internal condition, material composition or regulatory compliance. Functional testing also needs a separate, feasible test instruction.
4. Agree the response when a problem appears
Tell the warehouse whether to hold dispatch when a wrong variant, missing accessory or visible defect is found. Ask for the order reference, affected quantity and supporting photos. You can then decide whether to accept the item, request clarification or discuss a return with the seller. A return depends on the seller’s terms and timing; an inspection does not guarantee that a refund will be available.
Keep packaging until that decision is made if it may be needed for a return or protection in transit. Confirm any additional handling, storage or repacking charges before requesting extra work.
5. Copy this warehouse photo request
Order / product reference: …
Exact variant and expected quantity: …
Units to photograph or inspect: …
Required views: front, back, label and …
Measurement points and unit: …
Accessories that must be present: …
May sealed packaging be opened? …
Visible issues to flag: …
If an issue is found: hold dispatch and send the reference, quantity and photos.
Please confirm availability, inspection scope and charges before work starts.
6. Turn the returned photos into a dispatch decision
Review the images against your original request, item by item. Mark an unseen detail as “not checked” rather than assuming it passed. If a close-up cannot be matched to a particular SKU or unit, ask for that connection before approving the goods.
Order / SKU and units reviewed: …
Photo filenames or image references: …
Matches the agreed specification: …
Differences or missing evidence: …
Decision: approve these units / hold these units / request these additional views.
Packaging instruction and dispatch approval: …
Approval date and request reference: …
Keep this decision with the original specification and photos. Approving a sample, accepting a visible mark and authorizing international dispatch are different decisions; identify which one you are making. For a repeat purchase, carry the agreed details into the sample and order specification checklist.
Frequently asked questions
Does a warehouse arrival photo mean a full inspection is complete?
No. A parcel arrival photo can document the outside of a package. It does not show its contents unless opening and the relevant checks were requested and completed.
Can photos replace a specialist product test?
No. If safety, electrical performance, composition or certification matters, request an appropriate specialist assessment. Do not treat ordinary warehouse photos as a test report.
